Timesheet References and Tasks
Within NaturalHR you can create References and Tasks which you can then use in Timesheets, Expenses, Mileage and Time tracking.
To create References, go to
Administration -> Company -> Settings -> Timesheets -> Timesheet references
Click on the 'Add' button then add a Reference and a level as a minimum, you can create 3 levels of Reference:
To create Timesheet tasks, go to
Administration -> Company -> Settings -> Timesheets -> Timesheet tasks
Click on the 'Add' button then add a Task name:
Once you have created your References and Tasks you can then decide how and where you want to use them.
Timesheets
Administration -> Company -> Settings -> Timesheets -> Timesheets settings
In the Timesheet references and tasks section,
- select 'Enabled' from the 'Timesheets references' option
- select 'Yes' or 'No' from the Timesheets references - managers add new references option depending on whether or not you want your managers to add new references
- enter a name for your 'Reference 0 label'
- select 'Active' and 'Required' for each of the timesheets, expenses, mileage and time tracking options to make this reference available on the appropriate function.
Repeat the process as required for Reference 1 and Reference 2 if you previously created them.
After the 'Reference 2' settings you will see an option for 'Timesheets tasks'. Here you can choose if you want to use the Tasks you created previously in the Timesheets function:
Depending on the options you have chosen above, i.e. Reference labels, active or not and required or not, your timesheet will look something like this:
The Client field is my timesheet reference, Client is the label I have given it in my timesheet settings.
Time tracking
In addition to the process detailed above in the Timesheet references and tasks section, go to the Time tracking settings section and select 'Yes' from the 'Time tracking use timesheets reference' option if you want to require your employees to enter a reference. This will using the same references activated for time tracking above, and optionally tasks and billable when entering time tracking entries.
Depending on the options you have chosen above, i.e. Reference labels, active or not and required or not, and Tasks - time tracking activated in Timesheets references and tasks your time tracking will look something like this when adding a time tracking record:
Expenses
In addition to the settings above to activate the references for each module, to use the references and billable in an expense claim, go to
Administration -> Company -> Settings -> Expenses -> Expense settings
In the features section, select 'Yes' in both the 'Use timesheet references on expenses' and 'Use billable on expenses' options.
Depending on the options you have chosen above, i.e. Reference labels, active or not and required or not, as well as these two options, your expense claim will look something like this. In this example, only level 1 references have been activated for expenses:
Mileage
In addition to the settings above to activate the references for each module, to use the references and billable in a mileage claim, go to
Administration -> Company -> Settings -> Expenses -> Expense settings
In the Mileage section select 'Yes' in both the 'Use timesheet references on mileage' and 'Use billable on mileage' options.
Depending on the options you have chosen above, i.e. Reference labels, active or not and required or not, as well as these two options, your mileage claim will look something like this. In this example, only level 1 references have been activated for mileage:
