Why and How To Archive Records
Archiving outdated records in NaturalHR is a great way to keep on top of them while maintaining the data. Doing so can also improve system performance, if you're noticing slow load times on specific pages it's usually because of the volume of data being loaded on the affected pages, for example, time off records can add up very quickly over a year, if you have 2 or 3 years of active time off records then all pages related to time off can take a lot of time to load and will sometimes result in a crash if your browser runs out of memory.
Please Note: Archiving records does not affect it's availability or it's reportability.
By default archived records will still display in Report Builder as long as they fit the report filters.
How to archive records
In order to archive records simply navigate onto the page where you'd find the record(s), for example, a time off record is found within Time and Attendance -> Time Off. Once there simply click the checkbox next to the record(s) you'd like to archive:
Then click Bulk Actions -> Archive:
You'll see a warning asking you if you're sure, click Confirm to proceed:
Archiving Historic Time Off
To archive all time off which predates the current holiday year simply navigate into Time and Attendance -> Time Off and click Other Actions -> Archive Historic Time Off:
You will then see a dialogue box displaying your holiday year and explaining that all time off predating this date will be archived:
Click OK to proceed and the records will then be archived.
Viewing Archived Records
To view your archived records simply navigate to the relevant page, and toggle the Active | Archived switch:
This will then display all archived records separately from your Active records on the system.
