Why does my report show leavers?
When building a report using Natural HR's Report Builder feature, users often find that the report contains details of employees who have left the organisation.
In this table view of employees via
People -> Employees -> Table view
there are 21 active employees listed
and in the
People -> Employees -> View archived employees
view there are 4 archived employees listed.
If we create an Active employees report using the Employees data source in Report builder, by default the report includes both the active and archived employees.
This is by design, reports using employee-related data sources will always contain both current employees and leavers (archived employees). If you would like to show current employees only and exclude leavers, simply add a filter to your report.
When creating or editing a report in Report Builder, scroll down to Section 9 - "Select Filters" and click on the + icon to add a filter.
In the first drop-down box click select "Active". You can type to filter the list of available fields, or scroll the list and click "Active".
In the second field, choose "Equals".
And finally, in the third field choose "Active".
Click on the 'Edit report', then 'View report' buttons. When you view this report, it will now contain only current (active) employees.
Please note: If you wanted to view only archived employees (leavers) this could be achieved similarly, with a filter that shows:
Active - Equals - Archived
or
Active - Not equal - Active.
There is also the possibility that inconsistencies appear due to leavers rejoining the company, employee rejoining history can be checked by navigating into:
Administration -> HR -> History -> Employee Rejoining History
