How do I add custom fields to the employee file?
You can add up to forty custom fields to the employee file.
To do so you can browse to:
Administration -> Company -> Custom employee fields
In the first column, enter a name for the field you wish to add.
In the second column is a dropdown option allowing you to choose which type of data will be stored in the custom field.
There are 5 options:
- Single-Line Text
- Multi-Line Text
- Date
- Yes/No
- Select dropdown
Alongside these fields, there are three checkboxes
- Required - If selected, this field will be a Mandatory field when adding or editing an employee's file.

Self-service - If selected, this field will appear within self-service for an employee to complete. This field will appear under:
Self-service -> My personal details -> Additional Information
- Quick add - If selected, the field will appear when using the quick add function to add new employees.
User groups - Designates which user groups are able to view or edit this field: valid options include HR, Finance, Manager, Trainer and Facilities. Administrative users are always able to view and edit these fields.
Options list - This is for use with fields of type Select dropdown and allows you to choose the values which will appear in the drop-down list. These should be entered as a comma separated list, for example:
Apples, Oranges, Pears
Please note: You should be very cautious when changing or deleting employee custom fields as this can impact the integrity of any stored data. If in doubt, please contact Natural HR support for advice.
Custom fields can also be displayed on the Employee card. To do so navigate into:
Administration -> Company -> Settings -> Display Settings
Under the Employee Module section within the Employee Card Fields there are a number of checkboxes, the Custom Field checkboxes correlate to the custom fields within:
Note: you will only see these options if 'Default employee module view' is set to 'Card'
Administration -> Company -> Custom employee fields
Ticking these checkboxes will cause the corresponding custom field to be displayed on the Employee's Card:
