Natural HR offers an alternative to Timesheets, a time tracking feature which allows users to clock in and clock out via their Natural HR home screen. There is no link between Timesheets and Time tracking, information collected via one module cannot be used in the other and vice versa.
To enable Time tracking, go to:
Administration -> Company -> Settings -> Display settings
In the 'Module Display' section, you can enable the 'Time tracking' module
After clicking on 'Submit' to save your changes, a new 'Time recording' section will appear on the right side of NaturalHR, the icon looks like a small clock:
Clicking this icon opens a panel showing the following information:
- Billable - Yes or No?
- Week beginning - The start date of the current week
- Weekly hours - how many hours the employee is contracted to work
- Worked - how many hours already worked this week
- To work - how many hours the employee still has to work
The employee clicks on the 'Clock in' button to clock in, at which point the button will turned to red and 'Clock out', this indicates they are currently clocked in.
To clock out, the employee clicks on the 'Clock out' button, at which point it will turn green and 'Clock in' to indicate they are currently clocked out.
Upon clocking out, the hours worked will be updated with the hours worked between clock in and clock out and the hours remaining to work.
If an employee makes an error or forgets to clock in or out and the timings need modified or corrected, then only an admin level user can do so by going to
Time and attendance -> Time tracking
identify the time tracking record that needs to be edited then click Actions followed by Edit:
In this case the Time out time of 00:00:00 is edited to become 17:30:00. Before clicking on 'Submit', click on the 'Calculate' button.
Please take note of the warning popup, if you are using Natural Hr rotas, before clicking on 'OK'.
Are you sure? This will override the calculated time based on rota and rules and replace it with a calculation based on the clock in and out times with no breaks deducted etc. If you want to reset this to the rota calculated time., then simply clear the total box and submit.
The calculated total is 9.00000 or 9 hrs 00 mins
If an employee attempts to login and they see a grey 'Error' button, this means that they have time off booked at the same as they wish to 'Clock in' and therefore should not be clocking in, so the system will prevent them doing so. This again can be rectified by an administrator as required.
