What are report builder permissions?
The Natural HR Report builder allows you to create and run custom reports based on a series of data sources, sometimes also referred to as datasets. By default, only members of the Admin user group have access to all data sources, both standard, and those based on custom forms.
Report builder permissions for all other user groups, including HR, are given at a user group level - this means ALL users of that user group can then access that data source in order that they can not only view, but also build reports based on that data source. In the case of a manager for example, they will be able to report on the data source but they would only be able to see results related to their employees.
These reports can also be shared with other Natural HR users who are members of specific access level user groups:
- Admin
- HR
- Manager
- Finance
- Recruitment
- Trainer
- Facilities
- Approver

If you give HR, Finance, Recruitment, Trainer and Facilities user groups access to a data source, it will show them the information for all employees across the whole company. Members of the employee user group can not be given access to any data source.
To set up the data source permissions, go to
Administration -> Company -> Report builder permissions
Here, you will see a table showing a list of data sources and user groups. To give permissions to a user group for a specific data source, tick the box where the data source and the user group meet in the table. In this example the Facilities user group has permission to access the Asset assignment and Assets data sources:
further down the list of data sources, the Facilities user group has also been given permission to access the Employee vehicles data source.
Once you add any data source permissions for a user group, Reporting -> Report builder will then appear in their side menu bar.
This employee is a member of the Facilities user group, they are not a manager, so they do not have access to any other employee files. If they click on 'Reporting' then 'Report builder'
this user will be able to see and run reports that have been shared with them by another user (1) and will also be able to build their own reports by clicking on the 'New report' button (2)
After clicking on the 'New report' button above, the employee can build their own reports based on the data sources, referred to here as referred to as 'Data source' and listed as 'Original datasets', they have been given permissions to access. In this case they are 'Asset assignments', 'Assets' and 'Employee vehicles'.
Although this user is not a manager, because they are a member of the 'Facilities' user group, when they build and run a report they can see all employees in the company
