How do I share my Natural HR calendar with MS Outlook or Google Calendar?
You can share your Natural HR calendar with MS Outlook or Google Calendar.
Admin users
The calendar sharing settings for admin users can be found by going to
Administration > Company > Settings > Calendar sharing settings
Please note: These settings will show ALL calendar entries and should only be used by admin level users. Initially, there will be no calendar key shown which means your calendar is not being shared.
HR, Manager and Employee users
HR, managers and employees can also share their calendars by clicking the drop-down under their name and selecting Localisation.
At the bottom of the screen you will see the same Calendar sharing settings as above.
From here, the process is the same for all users, including admin. Choose which modules you wish to include in the calendar share.
To Note - Different users will have more or less options to select from
and then click 'Generate key' followed by 'OK'. A calendar key will be generated which will be displayed in the Calendar key box and, additionally, the key will be included in a Static calendar URL and a Calendar URL.
Static calendar URL
This will be a static snapshot of what your shared calendar looks like at the time the calendar key was generated - updates, changes, additions etc to the Natural HR calendar will not be updated in the shared calendar.
Calendar URL
This will update your shared Natural HR calendar - updates, changes, additions etc to the shared calendar will be updated hourly.
To Note - once you have made your key it is important to note it can be some time before it is fully populated normally 24 hours,
if you add your keys to the calendar straight away it could cause the calendar to display as blank
if so you will need to remove the key from your calendar and re add it after waiting 24 hours
Adding Calendar URL to MS Outlook (Office 365)
This is for a typical MS Outlook (Office 365) installation, your view may be different depending on your MS Outlook version and configuration.
- Copy the Natural HR Calendar URL.
- Log in to https://outlook.office.com/calendar/view/month
- Click on 'Add calendar' followed by 'Subscribe from web'.
- Paste the Calendar URL here
- Enter a Calendar name
- Click on the 'Import button'
After a short delay you should see a message telling you the import was successful and you should be able to see the imported Natural HR calendar in your Outlook, both online
Adding using the Outlook Application
If you do the above through the outlook application on your computer it will look different although the steps are similar
- Open the calendar tab in outlook
- At the top select add calendar
- Then select from internet
- when adding your calendar remove the s from webcals
Adding Calendar URL to Google Calendar
- Click on the Google Calendar 'Settings menu'
- Click on 'Add calendar'
- Click on 'From URL
- Paste the Calendar URL here
- Click on 'Add calendar'
Please note: Google Calendar will not accept a 'webcals' prefix for the Calendar URL.
Edit the Calendar URL in place and delete the highlighted 's' so the Calendar URL reads webcal:// instead of webcals://
Then click on the Add Calendar (5) button again. You should then see your Natural HR calendar as well as your personal calendar if you wish to see both simultaneously.
Note on regenerating your Calendar key
If at any time you choose to regenerate your key (to change modules for example), your old key will be revoked immediately but your new calendar view will not be created until the top of the next hour - you may have to wait up to 60 minutes for the file to be accessible. and also take into consideration what was stated above regarding how long after creating the new key it can take for it to initialise/populate
Revoke all keys
Should you decide you no longer wish to share your calendar you can choose Revoke all keys - this will delete both your key and the corresponding ICS file from the system immediately.
Troubleshooting
Calendar entries not being displayed in Google Calendar
Google Calendar has been known to not display calendar entries following multiple attempts. If Google Calendar recognises a link which has been previously imported, it may try to reload the original, failed calendar instead of loading the latest version.
To rectify this, following the '.ics' extension at the end of the URL, you will need to add a '?' followed by a unique string: for example,
webcal://www.naturalhr.net/hr/calendars/090268a5ab4f9458887f5186b2154a10.ics?randomstring1
Once this has been imported into Google Calendar, you may need to refresh the page for this to show any calendar entries.
