Using the Audit log
Natural HR provides an audit log which will show events such as:
- log in and log out
- announcement added
- employee added
- social recognition added
- timesheet added
- time off added
- created report
- document viewed
- document uploaded
- document downloaded
- report builder permissions updated
- display settings updated
- company settings updated
The Audit log can be found by going to
Administration -> Company -> Auditing.
For each logged event, the 'Date', 'Username' and 'IP address' for the user who completed the 'Action' will be recorded. This could be useful if a situation arises where you need to prove that a particular action has been carried out at a particular time by a particular user.
Purging the audit log
Your Natural HR system keeps 30 days of audited actions in the audit log. If your audit log data contains data older than 30 days, you may wish to delete these older records. If you choose to purge the audit log then you may wish to export the data to a CSV or Excel file first. Remember that only what you see listed will be exported so make sure you select ALL (in this view, currently showing 10). To export the Audit log to a CSV click the CSV icon in the top-center of the page:
In order to delete these unwanted records use the red 'Purge' button at the bottom of the screen. This will permanently delete the contents of the audit log and cannot be reversed:
After clicking on the 'Purge' button you will see an option to click on 'Confirm' and a warning to tell you this action cannot be reversed once completed. After clicking on 'Confirm' you will have a final 'Are you sure?' warning before clicking on 'OK'.
After clicking on 'OK' the audit log will be purged, leaving only the last 30 days of audited actions.
Using the Search Bar
The Audit Log can be very useful for checking on when actions were completed as well as which user performed them, for instance, if a candidate has mysteriously gone missing we can use the Search bar on the Auditing page to check who deleted that candidate profile:
By searching for the action taken the table will sort the results to fit the search criteria, in the case above I've searched for "Deleted" this will then sort the table to only show results which include the word "deleted".
You can also look at a specific user's actions in order to see everything they've done on the system, to do so simply enter their username into the search bar like so:
Now we can view all actions taken by "bentest422@gmail.com". Using the audit log in this way can be extremely helpful when you're trying to diagnose issues like missing data, time off which is inexplicably approved/declined and can also be used to simply find out when actions were performed.
