How do I record a late record against an employee?
Natural HR provides the means to record an employee's late arrival to work, including the duration (how late) and the reason for the employee's late arrival.
Before using Late records we must first enable them, to do so navigate into
Administration -> Company -> Settings -> Display Settings
Under the Module Display section simply tick the Late checkbox and click the Submit button.
Setting up Late reasons
Before instances of lateness can be recorded, a list of late reasons must be created which can be referred to when a late instance is to be reported by going to
Administration -> HR -> Time off management -> Late reasons
Here you will see listed any 'Late reasons' that have already been created. If you are using a working pattern with start and end times, you can choose one of your 'Late reasons' to be the default lateness reason to be recorded from the 'Time tracking' module.
To add a new reason, click on the 'Add' button.
Add a name for the 'Reason' and you then have the option to select 'Yes' or 'No' in the 'Timetracking type' option.
If you select 'Yes' then click on 'Submit' you will receive this warning 'You can only have one type set to be used for time tracking' if you already have a 'Late reason' with a 'Time tracking type' set to 'Yes'
Recording lateness
You can record employee lateness by going to
People > Employees
then search for the employee you want to add the lateness record for. To the left, and just above the employee image, you can click on the clock icon to record an instance of lateness for this employee.
Enter the details for the employee's lateness. Click on 'Submit' to finish.
Please note: enter duration of lateness in minutes
You can also add an employee 'Late record' by going to
Time and Attendance > Late records
Here you will be able to view the 'Late records' that have already been entered including the 'Date' the lateness occurred, 'Employee' name, lateness 'Reason', the lateness 'Duration' who this lateness entry was 'Entered by' and any 'Comments' added. There are also actions allowing you to 'Edit' or 'Delete' a 'Late record'.
To add a new 'Late record', click on the 'Add' button in this view. You must first select the employee name from the 'Employee' dropdown then add details as shown above.
Recording lateness via time tracking
An employee 'Late record' can be automatically added if an employee has a working pattern applied, with start and end times, and uses the Natural HR time tracking feature to 'Clock in' and 'Clock out'.
In this example, the employee is late by 86.2 minutes and the reason for lateness
is 'Train delayed' which was the 'Late reason' 'Timetracking type' set to 'Yes'
