Google Address Lookup
Within Natural HR, there is the option to use Google to calculate the distance between two postcodes for mileage claims.
To enable Google address lookup navigate to:
Administration > Company > Settings > Expenses > Expense settings
Then locate the 'Google Address Lookup' field:
If this is set to yes, the 'Use Google distance lookup' field will be visible, when enabled this uses Google's distance in order and automatically inputs that into the mileage claim:
The system can allow mileage claims to be overwritten if required. Browse to the same area and select either Yes - employee can overwrite value or Yes - employee cannot overwrite value, depending on whether you want the employee to be able to overwrite the value calculated by Google or not.
PLEASE NOTE: The distance that is populated within the mileage module is pulled from Google directly. We do not have any influence regarding the figures that are generated.
Additionally international addresses are not displayed via Google Address Lookup, the available addresses are determine via the Language field in your Localisation Settings, for example, someone with their language set to UK English will only see addresses within the UK whereas someone with their language set to Australia will see Australian addresses.
If you choose to allow the employee to overwrite the value, you can set a threshold percentage where the employee can update the figure without triggering an alert. To make this change, browse to:
Administration -> Company -> Settings -> Expenses -> Expense settings
Then locate the 'Percentage alert threshold for distance overwrite' field:
If the employee does adjust the value, a notice will be displayed to the user who is approving the request to inform them that a change has been made.
