Zip Uploader with Preview
Within Natural HR, there is the ability to upload a zip file containing multiple files into the system and allocate them to employee files, eliminating the need to go through employee files individually when uploading documents or profile photos.
There are two uploaders available for this purpose, this article describes the "Zip Uploader with Preview" function.
To begin, you will need to save the each of the image files or documents into a consolidated zip file ready to upload.
Tip for success: When naming the files which you are about to upload, we recommend using both the name of the employee, their work ID (If applicable) and the title of the document as this will save you time in identifying which employee the files belong to.
Uploading a zip file
To upload a zip file using the "Zip uploader with preview" described in this article, go to:
Administration > HR > Data Management >
Employee Document Uploaders > Zip Uploader with Preview
Click "Browse" to browse for the zip file to upload.
Once you have selected "Submit", the blue banner at the top of the screen will confirm when the upload has been completed. You can then click on the link provided in the banner to view the uploaded files.
Image files
When uploading image files, the image will display as below.
Choose the employee - if you have named your files the system will try to automatically allocate the file to the correct employee. If this is incorrect or you would like to change it you can do so in this drop down list.
Choose the category - you can select here which category that a file can be placed into on the employee's file. If this is a profile image, this won't be placed into a category even if selected.
Profile image? - if the image you are uploading is a profile image for the employee you can select "Yes" from this drop down and it will automatically allocate to the employee's profile.
Document visible to the employee? - you can select here if the file you are uploading should be visible to the employee or not within their self service.
If the "Profile image?" checkbox is set to "No", the image will be stored under "Employee documents" on the employee file and not assigned as their profile image. To move to the next file simply click "Next" and it will upload the documents as you progress through and bring up the next document for you to assign.
.PDF Files
Files which have been uploaded as a .PDF document will be embedded into the system - this will enable you to view the document in a window before you allocate this to an employee. To assign this to the Employee documents section of an employee's file you will simply need to complete the fields as the above section select which category you would like to place this in as well as whether it is visible to the employee.
Microsoft Word Documents / Rich Text Format Documents
Microsoft Word documents and Rich Text Format documents cannot be viewed within the application in the same way that .PDF documents can. However, by clicking on the magnifying glass icon above the name of the document you will be given the option to download the file to view its contents.
