Common Form Errors and Warnings
When building a form, there are a number of scenarios whereby the form may have an issue which could impact the core usability of the form.
This is indicated by an icon next to the form status and banner within the form builder - When you hover over the warning icon(s) the message will tell you the reason for the issue which will be one of the below.
The warnings are colour coded with RED meaning this is a major issue which can have a significant impact and ORANGE which is a warning which may or not be significant.
What do these errors mean?
Invalid workflow selected - it is possible to trigger a workflow from the form - occasionally, the workflow which the form refers to may be deleted or inactive which will then cause unexpected behaviour when the form is submitted.
This shows as a red triangle as this issue can have a significant impact.
To fix, you simply need to edit the form and check the workflows which are set to trigger and then update the workflow or activate the corresponding workflow if the workflow has been set to inactive.
Form does not have an ASSIGNED EMPLOYEE field - All forms of type Other, Performance review and Performance improvement should have a field type of "Assigned employee" included - if they do not then this will show as a red triangle icon.
We strongly recommend that all forms of these types should include this field otherwise the response in the form will never be attributed to the relevant employee.
Form does not have a completed field - With forms of type Other, Performance review and Performance improvement, we strongly recommend these forms have at least one "completed" field as this controls the flow of the form from employee to manager, within a workflow and also can control who has access to the form. If your form does not have one of these field types this shows as an orange circle.
The form will need a completed field for each person the form is sent to within a workflow.
Form is accessible by employees but has no fields which the employee can access - With forms of type Other, Performance review and Performance improvement, if this form is contained within a workflow and at least one of those workflow steps involves sending the form to the employee, we will check to ensure that the form is accessible by the employee. If your form is not accessible by an employee, this shows as a red person icon.
This means we will check the setting against the form to ensure "Visible to employee" is set to YES and we will also check that at least one field in the form is visible to the employee.
Form is in a workflow which sends to managers but the form is not accessible by managers - With forms of type Other, if this form is contained within a workflow and at least one of those workflow steps involves sending the form to MANAGER, we will check to ensure that the form is accessible by the manager. If your form is not accessible by a manager, this shows as a red "manager" icon.
This means we will check the user groups to ensure that manager has access. To rectify this you will need to either change the form's user access or change the field access of at least one field for managers to have access.
Form has an uneven number of clone/page/section starts and ends - If you have a form which has either sections, clones or pages included then it is important to ensure that these are all "closed" properly, for every start you have, you should have an end so in this instance we check to make sure that you have the same number of starts and ends. If you have an uneven number, this will show as an orange "code" icon (</>).
Form has clone fields but no clone sections - If you have a form which has a clone section then you need to ensure that you also have clone fields in the field. Likewise, if you have clone fields then you need to ensure you have clone sections. If either of these are not true, this will show as an orange "pages copy" icon.
