How can I see my employee’s downline?
Natural HR allows managers to view and manage just their direct reports or, if required, their indirect reports as well.
In this Contracts and legal department example, there are a total of 8 employees, including the head of department, who has 3 direct reports in the second level and 4 indirect reports in the third level. The 3 direct reports are also managers with management responsibilities for the 4 employees in the third level.
For the first level manager to view their entire downline (both direct and indirect reports), the global setting for the manager's reporting line must be set to 'Entire downline', by going to
Administration > Company > Settings > Display settings
in the 'Manager views' section, select 'Entire downline', from the 'Managers view whole reporting line' option
By default the manager can view and interact with only those employees that report to them directly, in this case, 3 employees by going to
People > Employees
In order to view their indirect reports as well, the manager must individually amend their localisation setting for Organisational depth to 'My entire downline' by clicking on their User name, then 'Localisation'
From the 'Organisational depth' option, select 'My entire downline',
After clicking on 'Submit' to save changes, the manager can return to their employee view and will now see their indirect reports as well as their direct reports:
With these settings, the manager will see their direct reports requests for approval (time off, training, expenses, mileage) only. By default the requests for approval will appear in the
- 'Workflow' section in the right side bar
- For time off and training requests, they will also appear in the manager's calendar
If the manager also wishes to see the requests for approval from their indirect reports as well, then they must return to the 'Localisation' option and this time, from the 'Workflow and calendar depth' option, select 'My entire downline'
After clicking on 'Submit' to save changes, the manager will now be able to see approval requests in the Workflow section in the right side bar, and their calendar for
- Their direct reports and
- and 3. Their indirect reports
Please note: If applicable, the first level manager will also be able to see, and approve or reject, other requests for approval such as
- Time off in lieu and
- also an action to complete a return to work interview for employees returning to work after sickness
