Once a goal has been set against an employee you may need to manage this going forward as the due date is reached or passed.
WARNING: Any changes made as part of goal management will permanently impact your performance goals and should be used with care - if you archive records accidentally, you can manually restore them, but if you delete them then it is permanent and these will not be able to be recovered.
If you are going to set this up in your environment, then try applying this to a test goal that you can delete or archive.
This example is a Current, Individual, Development goal with a due date of 31/01/2020. It has passed so we will look at how to archive it using Goals maintenance.
To manage this we have now added a goal maintenance option found by going to:
Administration > HR > Data Management > Goals maintenance
This screen will give you the ability to archive or delete goals based on these five mandatory, and one non mandatory options:
The Action option allows you to Archive or Delete one or more of your goals. For this example we will choose Archive.
2. Goal Type
The Goal type that you want to archive. This allows you to filter down further in terms of what you want to remove. For this example we will choose Individual.
3. Goal category
The Goal category, choose from All, KPI or Development. For this example we will choose Development.
4. Goal status
What you choose in Goal status may depend on whether you want to Archive Current only or Delete Archived only. For this example we will choose Current only.
5. Goal due date from
The Goal date due from allows you to define the date after which goals based on the criteria above will be archived/deleted. It is important to note that all entries that meet the above criteria up until this date will be impacted. In this example we are only interested in goals that were set after 01/01/2020.
6. Goal date due to
The Goal date due to option is the only one which is not mandatory. In this example we want to impact only the goals that are between the from and to dates we set above.
Now all of the options are set you can click on 'Submit'. Please take note of the warnings before clicking on 'OK'
You should then see a banner informing you that the Goals maintenance was successful.
The goal will no longer be accessible by the Employee and will no longer be accessible in the Employee card goals view
After clicking on the 'Archived goals' button you can still View, Return or Delete the archived goal
