How do I trigger an offboarding workflow based on exit reason?
Within Natural HR you have the ability to condition the start of an offboarding workflow on a particular exit reason. When making an employee a leaver, you can choose the exit reason and this in turn can trigger a workflow appropriate for that particular reason.
To link to an exit reason to a workflow navigate to:
Administration > HR > Data management > Exit reasons
Click on the edit (pencil) icon to edit a current change reason, or click on the "Add" button to add a new Exit Reason.
In the workflow field, choose the workflow you want to trigger when this exit reason is used. This should be a workflow of type "Task" and category "Offboarding". For example in the below screenshot we have associated the workflow "Offboarding workflow" with the exit reason "Resignation" -
Once you make an employee a leaver and select the relevant reason it will then automatically trigger the offboarding workflow.
A workflow can be attached to more than one exit reason, and different workflows can be used for different exit reasons.
For example, you may have an offboarding workflow for your voluntary exit reasons and then a separate workflow for all your involuntary exit reasons.
Please note if you have any restrictions on your workflow (for example, if the workflow is set to exclude a particular site or department), then if the employee does not meet those restrictions, the workflow will not trigger for them regardless of the exit reason chosen.
