Reporting working days for employees with a Rota
If you have employees who work according to a Rota or a Working pattern, you can generate a report to show this via:
Reporting -> Report builder
In this example we'll look at building a report for rota working days by clicking on the 'New report' button
In this example we will use
- Report type - Table
- Data source - Working patterns
- Report name - Employee working days - Rota
There are lots of reportable fields you can choose from but for this report we have added all the Working days fields and some Employee fields
Next we'll choose some report settings
- In this example we will not group, although when working with your data you might find this beneficial
- We have selected Aggregate - Cost - Sum
- Aggregate - Duration - Sum
- In this example we are not sorting by any column, although when working with your data you might find this beneficial
But we do have filters showing:
- Date Greater than or equal to 01/04/2020 AND
- Date Less than or equal to 30/04/2020 AND
- Job status Equals Zero hours (in this example only staff with a Zero hours status have a Rota applied)
Please note: the Zero hours job status was set via
Administration -> HR -> Data management -> Job status
and then applied to an employee using the 'Change' action via
People -> Employees
From the report we created click on 'Edit report' and 'View Report'. Here we can see the working days and the cost per day as well as the aggregated total duration of hours for the month as well as the total cost (this is based on the hourly rate this employee is paid, in this case £8.72 per hour)
