How do I share Report builder standard reports?
Within Natural HR, in addition to the custom reports you can create with Report builder, there is a library of standard reports. Before a user can access these reports however, they must be published to each user who requires them by going to:
Administration > Company > Report builder permissions
Click on the 'Standard Reports' button on the 'Report builder permissions' page.
Once on this page you can then choose the report(s) and the user(s) you wish to publish these to. You can either click on:
- 'All users' or
- Select the individual names from the available listed users (only users who are Admin, HR and Manager user groups plus any Employees set up as Recruiters, Finance and Facilities), all other users who are members of the Employees group, cannot access Report builder.
Please note: Only currently active users will be listed. You will need to repeat the process for any new employees you add as Natural HR users. At the top of the screen there is a warning banner advising that the user(s) you publish the report(s) to must also have permissions to view the associated dataset that the report is based on. If you do not give the user(s) access to the dataset the report is based on, then when the user tries to run the report, they will see this error.
For each of the reports listed, you can also see the dataset the report is based on.
After clicking on 'Submit' to publish the report(s)
add Report builder permissions to the appropriate user(s) group(s) e.g. Manager, Finance, Recruitment etc, for the datasets the published reports are based on via:
Administration > Company > Report builder permissions
After clicking on 'Submit', the user can now access any of the published reports via their Report builder icon on the side menu. The standard reports can be seen with the report name plus (Standard) and Data Source (aka dataset) along with any other reports that have been built and shared with the user(s) group(s), who can run and/or edit any of the standard reports they have been given access to:
The user can not only run and/or edit this report, they can also share the report with other users, the same rule applies though that the user(s) group(s) to share to must also have permissions to view the data from the dataset that the report is based on.
