It is now possible to include your Report Builder reports within categories to allow you to organise your reports more effectively. These categories can be nested, so that you can have one category inside another.
To set this up as an administrator or HR user, go to:
Administration > Company > Report Builder Permissions
And click on the Report Categories button:
To add a category, click on the Add button at the bottom of the page:
The fields on this page are as follows:
- Category Name - The name of the category. Mandatory.
- Category Description - A description of the category. Optional.
- Parent Category - If you want to include the category within another existing category, choose it here. For example, you might have a Parent category called "Employee Reports" and include in that parent category another category "Sales Team". "Sales Team" will then be 'inside' "Employee Reports".
Click Submit to submit your changes.
When on the Report categories list, you can also edit and delete your categories using the following icons in the actions column:
Only "empty" categories (containing no reports or sub-categories) can be deleted.
Using Categories in Report Builder
Report Builder can be found at:
Reporting > Report Builder
Once you have set up your categories, you will see them displayed as folders at the top of Report Builder, like so:
An administrator or HR user will see the edit and delete icons next to the category, but other users will not. The green icon next to each category indicates the number of items (reports or sub-categories) in the category. Click on the category to view the reports and sub-categories therein.
When Adding or Editing a report, you can choose which category to place it in using the drop-down in section 5 of Report Builder:
To move a report into a new folder, either edit it and change the selection in section 5 as shown above, or in the list of reports click on the checkbox in the actions column:
Then choose the new folder from the "Move reports to" drop down:
As this is a bulk action, you can move multiple reports by checking the checkbox for each one that you want to move.
