Setting up Docusign integration
DocuSign is used globally and has become a popular go to solution for obtaining electronic signatures. At Natural HR we want you to have the flexibility to work in the way that’s best for you and your business so by making Natural HR compatible with DocuSign you can continue to use the signature and agreement processes you already know and love.
Setup the integration
To use this integration you need to be using Natural HR Enterprise Edition and have access to the DocuSign Connector functionality.
All you have to do is to have a DocuSign account and follow these simple steps:
Login to Natural HR and navigate to Administration using the left-hand navigation menu. Within Company > Company Settings you’ll see a new option called DocuSign integration.
Once you have selected the DocuSign Integration option you will be taken to a new screen which will ask for your ‘Integration Key’ and ‘Secret’.
These details are provided by DocuSign for linking accounts and can be found in your account information on docusign.com. You’ll find them in the ‘Apps & Keys’ section.
The ‘Integration Key’ is a 32-digit code which is unique to your DocuSign account and allows Natural HR to establish a connection with your account. Your ‘Secret’ acts as your password to confirm that this is your DocuSign account and that we have your permission to link your DocuSign account to your Natural HR system.
Once your key and secret have been entered you’ll be taken to the confirmation screen which will highlight if the connection to DocuSign has been successful.
Using the integration
Once your integration has been setup successfully, you will need to ensure the two systems are aligned by using the same terminology across both systems. This will ensure the right information is transferred between the systems to populate your templates.
When setting up your templates in DocuSign, make sure to check that the ‘input box’ field label names match what you have in your ‘system fields’ within the workflow section of Natural HR.
There is a list of all system fields in the Workflow section as below. You will need to ensure all fields match before you make the integration live to ensure that all the relevant fields are populated for your employees and to avoid any errors.
Once your template is created in DocuSign, you can then use this in one of two ways:
- Workflows
- When you create a workflow step you will now see an option called "Send document for signing - DocuSign"
- Once chosen a new dropdown will appear which lets you choose the DocuSign template you wish to use when sending this document
- Employee documents
- When you upload an employee document a new option is added under the dropdown for Electronic Signature Required called Yes - DocuSign
- Once you choose this option you will see a new dropdown which lets you choose the DocuSign template you wish to use when sending this document
In both cases above, once the process has started with DocuSign the document will show as pending signature in Natural HR - however, once the process is completed in DocuSign the status will update to Signed and you will be able to access a copy of the signed document in Natural HR.
Please note: there is no connection between Natural HR and DocuSign other than the above so if, for example, you delete a document in DocuSign or manually send an updated request for signature etc then this will not be reflected in Natural HR - the signature status and the document we store will solely reflect the status at the point at which the original request was generated.
